Ñ     Rule #1 TAKE IT EASY! Don't PANIC!  You've hired a professional facility, professional photographers and a professional DJ. We will work tirelessly to make sure that everything happens the way you want it! 

 

Ñ     Ask your vendors what they will be wearing to your reception. Professional DJ's wear Tuxedos. (A tux can be a burden to photographers, but they should dress respectfully) Some vendors may dress casually (Slacks and polo shirts or even printed shirts bearing the company name or logo; and that is tacky at a Wedding Reception.) I wear a black tuxedo unless specifically directed otherwise.  Remember: You're the Boss! You may require them to dress appropriately for your ceremony and reception.

   

        (Note: Our  videographers dress in slacks, shirts and ties.)

 

Ñ     Meet your vendors! You'll be spending a lot of time with us on your wedding day! Make sure you are comfortable and feel confident about your choices of wedding professionals. If a vendor makes you nervous, or seems to be inattentive to your needs and wishes, consider shopping around some more.

 

Ñ     Contact ALL vendors 6 months before the reception just to make sure they still have you on their list.  THEN, follow up 1-3 months before the reception to make sure they are still alive, and again, contact them the week of your reception to firm up all last minute instructions and details. Don't EVER think that you are being a nuisance by doing this! (Wedding professionals expect these calls!) 

 

Ñ     Who should be on your confirmation contact list?

 

The church, the reception facility, the limousine, the florist, the bakery, the caterer, the DJ, the photographers, the videographers, the hotel (if you have a block of rooms), the rehearsal dinner location, tuxedo rental shop, dress shop, and in some cases, the location for your pictures must be confirmed.

(Some of these phone calls are terrific jobs for your best man and maid of honor! Hey … isn't that what they're for? ;-)

 

Ñ     Seat your older guests away from the DJ/Band and the Dance Floor.  The music near the dance floor will be at the highest volume level.  Try to seat your younger guests close to the DJ speakers and the dance floor. Your older guests will appreciate this gesture.

 

Ñ     Ask the facility to provide matching linens for the DJ table.  Table skirting and linens that match your decor will prevent the DJ equipment from "standing out" from your reception theme. If a DJ has his own "Booth", make sure there is no advertising signage (i.e. the Company name or Logo, etc.) or other distracting features which will cheapen the look of your decor.

   

Ñ     Professional DJ's will want to meet with you in person or via phone a couple of weeks before your reception to get DETAILED instructions from you. (Don't worry, It's FUN!) It's best to do this as close to your wedding date as possible.  I recommend 7-10 days prior, that way, our conversation and my notes are all fresh in my memory (and, of course, on paper!) on your wedding day.

 

Ñ     If you intend to provide meals for your vendors, make sure that the facility serves them early during the dinner period, usually after the head table is served. They need to be back on the job before the dinner period is over... You don't want to pay for a meal that your vendor does not have the opportunity to eat. Also, find out what you are paying for: Some facilities will charge you for a guest meal and then serve a "bag lunch" to the vendors. Many facilities will not charge for the vendor meals if you ask them.  If you do not intend to provide meals for the vendors you should let them know so they may make their own arrangements. (Note: Most photographers and videographers require that you provide a meal, or a break for a meal. Most DJ's do not require this.)

 

Ñ     You are responsible for providing a sufficient electrical supply to power the DJ equipment. While my equipment is designed to work on typical household current, some locations do not have adequate current and/or grounding.  Generators are not safe for the equipment. Also: The DJ equipment cannot share a circuit with heating, cooking or motorized appliances. (It is best to have an isolated circuit whenever possible) If you aren't sure about the power situation: Ask me!
